Audit my AI subscriptions

Paste your card or expense lines. Get a keep, cut or consolidate call for every AI tool you pay for.

You are helping me audit what my business pays for AI tools. We have [YOUR TEAM SIZE] people.

Below are expense or card lines from the last [NUMBER OF MONTHS] months. I have removed card numbers and account numbers.

Here is what I know about who uses each tool: [WHO USES WHAT, OR "UNKNOWN"]

Step 1. Group the lines by tool. If one tool shows up on more than one card or account, combine it. Flag any charge that looks like a personal account used for work.

Step 2. Make a table with these columns: Tool, Monthly cost, Seats, Use, Call. If a charge is yearly, divide it by 12.

Step 3. Pick the Call with the first rule that matches, in this order:
1. If you don't know how much it's used, the call is Find out.
2. If nobody uses it, the call is Cut.
3. If fewer than half the seats are used, the call is Cut seats.
4. If it does the same job as another tool on the list, the call is Consolidate.
5. If we pay for premium features nobody uses, the call is Downgrade.
6. Otherwise, the call is Keep.

Step 4. Under the table, give me the monthly total now, the total if I follow every call, and the difference.

Step 5. For each Find out, give me the one question to ask and who on a team of [YOUR TEAM SIZE] is likely to know.

Don't guess usage I didn't give you. Don't recommend new tools. If a line isn't a software charge, list it separately and leave it out of the totals.

In this made-up sample: $283 a month now. If you follow every call, about $134. About $149 a month before the Find out is settled. Run the prompt on your own lines for a real number.

How to adapt it
  • Swap in your headcount for [YOUR TEAM SIZE] and how many months of lines you pasted.
  • If your admin pages show active users, paste those numbers. If not, write "unknown" and the AI will mark it Find out.
  • Want a stricter bar? Change "fewer than half the seats" to "fewer than 75%".
  • Run it again every quarter, or after anyone leaves.
Don't paste this in
  • Full card numbers or bank account numbers
  • Employee names next to their usage. Use roles instead.
  • Client names that show up in line descriptions
  • Passwords, login links, or invoices with bank details
  • Use a business AI account, not a personal one, for company data.
